Sync with Follow Up Boss

With a Follow Up Boss API key, Matilda enriches the person in your CRM who matches each lead: budget, areas, intent, timeline, pre-approval, a Matilda tag, and a pipeline stage. This tutorial connects the two and pushes a lead.

Prerequisites​

  • A Follow Up Boss account with API access. The key is under Admin, then API in Follow Up Boss.
  • A lead in Matilda. See Your first qualified lead.

1. Provision custom fields (one time)​

Matilda writes several values into custom fields on the Follow Up Boss person. Create them once with the provisioning script in the webapp repository:

The fields it creates are listed in the Follow Up Boss reference.

2. Enter the API key​

On Setup, expand Follow Up Boss and paste the API key. Only Owners can save a secret. Click Test. Matilda calls the API and lists your exact stage names, which you will need for the next step.

In .env:

3. Map statuses to stages​

Matilda can advance a person's stage as their status changes. The default map is:

If your stage names differ, set FOLLOWUPBOSS_STAGE_MAP to your own JSON, or edit it on the Setup page. Stage names must match exactly. Unmatched names are skipped, and Matilda only ever moves a stage forward.

4. Sync a lead​

Open a lead's detail page in the dashboard. The Follow Up Boss panel shows the sync status. Click Sync now. Matilda finds the matching person by phone and email and updates them.

Refresh the person in Follow Up Boss. You will see the Matilda tag, an intent tag of Buyer, Seller, or Browsing, the budget on the price field, and the custom fields filled in.

What syncs automatically​

  • Worker ingest. When the Matilda Worker syncs a prospect thread from a Mac, Matilda creates the person in Follow Up Boss on first pickup and keeps their details current. The notes, tasks, appointments, and stage moves it hears show up in the worker as suggestions and reach Follow Up Boss when you apply them. Workers too old to show suggestions still push them on their own.
  • Capture. When Matilda captures qualification data, she enriches the existing matching person.
  • Reply path. The agent's own reply path never touches Follow Up Boss.

If the API key is unset, every sync is a silent no-op.
